We deliver on our promise of Strong Minds, Good Hearts™ through an education model that gives every student the opportunity for success. The Payroll Supervisor is responsible for overseeing the accurate and efficient processing of payroll for the organization, ensuring all employees are compensated correctly and on time while maintaining compliance with legal and regulatory standards. This role serves as a vital link between payroll operations and other departments, working to enhance processes, resolve payroll issues, and implement system improvements. By managing a dedicated payroll team and focusing on accuracy, compliance, and best practices.

 

How You Will Impact Education Instruction/Education Responsibilities Payroll Processing and Oversight: Oversee and manage payroll processing for all employees, ensuring accuracy, compliance, and timely completion of payroll cycles. Maintain current knowledge of payroll limits, deductions, and tax regulations across jurisdictions.Ensure payroll is compliant with company policies, as well as federal, state, and local wage and hour laws. Compliance and Audits: Ensure payroll practices adhere to applicable laws and regulations, including tax, wage, and overtime standards.Prepare for and support internal and external payroll audits, ensuring readiness and accuracy. Monitor regulatory updates, implementing necessary changes to payroll processes promptly. Staff Supervision and Development: Lead and supervise payroll staff, providing guidance, training, and support to uphold high standards of accuracy and customer service. Conduct regular performance evaluations, setting goals for professional growth and team development. Process Improvement and Software Implementation: Identify and implement best practices to optimize payroll operations, emphasizing efficiency, accuracy, and compliance. Lead and support payroll software implementations and upgrades, ensuring smooth integration with existing systems, particularly ADP. Collaborate with HR, finance, and IT to ensure seamless data flow, facilitating process improvements and enhanced system functionality.

Tax Compliance, Reporting, and Reconciliation: Prepare and analyze regular and ad-hoc payroll reports, including wage analysis, tax liability summaries, and overtime data to support organizational insights and compliance tracking. Ensure accurate and timely payroll tax withholding, deposits, and reporting for federal, state, and local authorities, staying up to date with multi-jurisdictional tax regulations. Perform detailed payroll reconciliations, identifying discrepancies, and implementing corrective actions to maintain financial accuracy. Assist Sr Director, Payroll with comprehensive month-end and year-end payroll reporting, including tax filing reconciliations and preparation for audits. Support escheatment processes by identifying and remitting unclaimed wages, adhering to state requirements and deadlines to ensure regulatory compliance

Issue Resolution and Customer Service: Serve as a point of contact for payroll inquiries, demonstrating strong customer service skills in resolving employee questions and concerns. Address complex payroll issues promptly and accurately, ensuring employee satisfaction. Foster a positive experience for employees by addressing payroll concerns with empathy and professionalism.

Technical Proficiency and System Knowledge: Advanced proficiency in Microsoft Excel for payroll data analysis, reporting, and reconciliation. Experience with ADP payroll systems, including software implementation and troubleshooting. Knowledge of general ledger functions and the ability to ensure accuracy in payroll-to-GL reconciliations. Compliance and Regulatory Knowledge: In-depth understanding of federal, state, and local payroll regulations, including tax laws, wage and hour laws, and multi-jurisdictional requirements. Knowledge of escheatment processes and tax compliance requirements across multiple jurisdictions. Process Improvement and Attention to Best Practices: Experience in identifying opportunities for payroll process improvements, implementing best practices for efficiency and accuracy. Strong attention to detail in maintaining compliance standards and preparing for audits.   JOB REQUIREMENTS Education: Bachelor's degree in Accounting, Finance, Business Administration, or a related field is required. Experience: Minimum of 5 years of payroll experience, with at least 1-2 years in a supervisory role. Experience with ADP or similar payroll systems is required, including experience in payroll software implementation. Advanced proficiency in Microsoft Excel for payroll data analysis, reporting, and reconciliation. Strong knowledge of payroll principles, limits, tax regulations, and best practices. Exceptional customer service skills, with the ability to handle employee inquiries and resolve issues professionally. Strong problem-solving abilities and effective collaboration skills across HR, finance, and IT. Excellent communication and interpersonal skills for managing a team and supporting employee inquiries. May perform other duties as assigned.   WORK ENVIRONMENT
