JOB PURPOSE:Provide administrative support as required to the Vice President and Sr. Director of Education. The Administrative Coordinator is the primary liaison for all academic related contacts, including all school principals and assistant principals. This role calls for continuous collaboration and communication in the workplace. The Administrative Coordinator must be willing to take direction and initiative, as he/she will be working on several projects at one time. This position deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Tracks and manages paper/electronic files.
  • Manages all travel arrangements including air, car, and/or hotel. 
  • Prepares travel and other expense reports for reimbursement. 
  • Facilitates expense report approvals for principals. 
  • Manages calendars for Vice President & Sr. Director of EDU
  • Coordinates staff meetings, conferences, etc.
  • Facilitates PTO approvals for all school principals. 
  • Creates meeting agendas, take minutes (as requested), and tracks action items for meetings. 
  • Answers basic questions for callers; checks supervisors' messages in voice mail system daily.
  • Responds to parent complaints as appropriate.
  • Prepares letters, contact lists, databases, etc. 
  • Makes appointments including scheduling meetings and conference calls. 
  • Works independently and within a team on special and nonrecurring and ongoing projects.
  • Follows federal and state laws, as well as company policies.

PHYSICAL DEMANDS

  • The Administrative Coordinator will spend long hours sitting and using office equipment and computers, which can cause muscle strain. 
  • The Administrative Coordinator is faced with constant interruptions and will spend long hours in intense concentration entering information in the computer, which requires attention to detail and high level of accuracy. 
  • The Administrative Coordinator will deal with a wide variety of people on various issues.
  • There are a number of deadlines associated with this position, which may cause significant stress.
  • Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force as frequently as needed to move objects.

TERMS OF EMPLOYMENT

  • Salary and benefits shall be paid consistent with CSUSA salary and benefit policy. Length of the work year and hours of employment shall be those established by Charter Schools USA.
  • This document does not create an employment contract, implied or otherwise, other than an “at will” relationship.

FLSA OVERTIME CATEGORY
Job is exempt from the overtime provisions of the Fair Labor Standards Act.

JOB REQUIREMENTS:

  • High School Diploma or Bachelor's Degree from an accredited institution or equivalent combination of education and experience. 
  • Minimum of two (2) years of work experience and or training in a relevant position.
  • Proficient experience with Microsoft Office (Word, Excel, PowerPoint, etc.).
  • Professional appearance and telephone manner is essential. 
  • Commitment to company values.
