Position Summary  

The Housing Operations Coordinator reports directly to the Director of Housing and is responsible for administration in the BC Residence Hall including coordination of services from Campus Operations, implementation of the BC Housing Management system, supervising and serving as staffing for the Housing front desk, and other tasks to support the daily operations of Housing. This position will work primarily on-ground, with limited options for remote working days to be coordinated with the Director of Housing or Designee.

Pay, Benefits & Work Schedule  

Position Salary Range: $51,576/year - $69,312year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

About the Department  

The Bellevue College Housing department was created in Fall 2018  when the first-ever on-campus residence hall was opened to serve BC students. The mission of Bellevue College Housing is to provide "safe, inclusive, and educationally-driven living and learning environments to Bellevue College students through quality facilities, academically-relevant support services, and intentional engagement with staff and resources." The LEED-Platinum certified residence hall consists of 400 bed spaces in a suite and apartment-style and includes plenty of community spaces for studying, meeting, and socializing; interior corridor facility with ample community space, a ground-floor cafe, and a front desk.

The Housing department is comprised of the Director, Assistant Director and student staff (6 to 8 Resident Assistants and student desk staff). Each staff members' role revolves around the overall operation of the on-campus community and works to connect the housing operations with services across campus to positively impact the student experience.
 

Essential Functions  

Facilities and Operations

  • Translate student maintenance requests to the online Bellevue College Work Order system 
  • Streamline and update the process by which students submit maintenance requests to Housing
  • In collaboration with the Director of Housing, support facilities management projects and work order processing
  • In collaboration with the Director of Housing and/or Bellevue College Locksmith or designee, coordinate the administration, organization, distribution, and tracking of Housing keys
  • Participate in regular training to remain up-to-date on the Bellevue College Housing key software management system and other relevant Housing key processes 
  • Coordinate the Housing process for receiving and distributing USPS, UPS, FedEx, and other mail in collaboration with the Bellevue College Warehouse, when necessary 
  • Maintain relationships with the Bellevue College Campus Operations, Public Safety, and Finance offices
  • Communicate regularly with Bellevue College Campus Operations staff to update work order statuses and needs 
  • Coordinate and schedule entry of Bellevue College Campus Operations staff for regular and emergency maintenance
  • Schedule, publicize, and implement quarterly Health and Safety Inspections throughout the Residence Hall
  • Research and make recommendations to the Director of Housing regarding department processes and improvements for Housing facilities or operations

Housing Support

  • Participate in all department, staff, unit, division, and committee meetings and events 
  • Provide regular operations updates to the Director of Housing and develop quarterly and annual reports
  • Co-administer Bellevue College¿s Housing Management System, including entering and tracking student data, running reports, facilitating room changes, and processing Housing resident check-in and check-out 
  • Maintain limited budgetary authority for discretionary spending on Housing operations or facilities needs 
  • Support the Director of Housing in organizing and tracking Housing service contracts with non-Bellevue College entities 
  • Facilitate confidential file storage for relevant departmental data 
  • Perform other duties as assigned or needed in the Bellevue College Housing Department 

Management of student staff     

  • Assign and follow up on student employee tasks as necessary 
  • Share supervision of student desk staff with the Director of Housing or designee.  
  • Perform other duties as assigned
Minimum Qualifications  
  • Associate's degree in related field or two (2) years demonstrated experience working in administrative support or similar roles. 
  • Demonstrated ability to effectively manage department resources.  
  • Demonstrated ability to work effectively with faculty, students, staff, and other administrators. 
  • Commitment to diversity, equity, and inclusion and the ability to work effectively in a diverse workplace and educational environment. 
  • Knowledge and experience maintaining program compliance with ADA, Title IX and/or other relevant federal and state laws and regulations. 
  • Proficiency in Microsoft Outlook, Excel and Word.
  • Effective communication skills.
Preferred Qualifications  
  • Demonstrated experience working in higher education.  
  • Demonstrated experience working with community/technical colleges and/or other open-enrollment institutions.  
  • Demonstrated experience working with higher education housing programs or similar student engagement areas.  
  • Demonstrated ability to effectively supervise staff in a team atmosphere and develop cooperation among all team members. 
  • Demonstrated ability to hire, train, and supervise student employees.  
  • Demonstrated ability to resolve and mediate misunderstandings among and between students, staff and faculty.
