Position Summary
The Events Manager oversees venue scheduling, contracts, & services for on campus venue rentals. This includes scheduling all services needed for events scheduled in campus conference & meetings facilities, for special events and performance locations, and for rentals of parking lots, classrooms and computer labs.
The Events Manager supervises, recruits, and trains classified and hourly staff for event coordination and completion of events.
Pay, Benefits & Work SchedulePosition Salary Range: $70,037/year - $98,052/year
The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Typically, new hire starts no higher than $77,041/year based on Bellevue College Exempt salary schedule.

The employee is scheduled to work 40 hours per workweek. This position is exempt from the overtime provisions of the Fair Labor Standards Act, which means that you are not eligible for overtime pay.

About the DepartmentBellevue College (BC) Food Services serves the college main campus by offering a full service cafeteria, three coffee shops and a Pizza Cafe (Housing) that serve hot food, light snacks, pastries, espresso, tea and beverages.
Essential FunctionsEvent Management
- Manages and maintains main venue event equipment, including chairs, tables, catering equipment.
- Directs or performs ordering, receiving, inventory, inspection and storage of supplies for events.
- Directs all services before, during, and after events.
- Communicates with Public Safety, and other departments regarding joint event needs and responsibilities.
- Maintains cleanliness and safety standards, follows and upholds all health codes and sanitation regulations.
- Ensures that equipment is set up and operates correctly.
- Directs staff in maintaining clean, safe, and sufficiently stocked workstations, pantries, and serving areas.
- Coordinates with staff to ensure all catering requests are complete and ready for events.
- Develops Audio Video standards and equipment.
- Plans and directs opening and closing procedures for venue locations and catering.
Administrative Oversight
- Adheres to budget for equipment, supplies, and labor costs as determined by Director of Food Services and Events.
- Develops and produces events information pamphlets, and promotional materials to advertise Bellevue College (BC) services & venues.
- Oversees compliance with event standards.
- Enforces and adheres to college service policies and procedures.
- Manages all event agreements, details, and billing.
- Reviews all event contracts to assure agreements details & estimates for billing are approvals by client signatures prior to events.
- Ensures that required licenses and insurance are provided to Bellevue College prior to all events that require them.
- Reviews post event order updates in preparation for final invoicing.
- Ensures event staffing needs are correctly billed and transferred to the appropriate internal department following events or activities.
Staffing
- Recruits and develops event staff on sales, contracts, pricing, customer service, event coordination, event set-up and breakdown, and event space cleaning.
- Leads the Events Office to plan and coordinate catering for events.
- Leads set-up and break down of events.
- Oversees event scheduling and collaborates with the Food Service Manager to coordinate the logistics of food & beverage preparation and service.
- Conducts performance evaluations, disciplinary actions, and conflict resolution.
- Apply independent judgment in supervising employees including recruiting, selecting and retaining employees, providing training and safety programs, defining work assignment and responsibilities, and establishing work policies and rules.
Other
- Collaborates with other leaders in daily operations.
- Provides effective customer service for students, employees, and visitors.
- Perform other duties as assigned.
- Bachelor's degree or certificate in Hospitality Management or other related area. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
- At least three (3) years management experience in a large-scale event venue or hotel catering operations.
- At least two (2) years experience supervising employees.
- Effective written, verbal, interpersonal, customer service and communication skills.
- Demonstrated experience working with diverse colleagues and/or students in a collaborative and inclusive environment.
- Ability to:
- work on several projects simultaneously and follow up on projects.
- keep records of inventory and supply levels for event services.
- direct and coordinate staff in food services and catering tasks.
- guide and train staff in the service of food and beverages as well as basic.
- Knowledge of:
- local and state health regulations.
- event software scheduling 25live.
- basic food and beverage preparations
- food safety and sanitation practices.
- basic care and use of food service/catering equipment.
- Proficient in Microsoft Office products (Word, Excel, Outlook, Teams).
Position Specific Requirements
- Must have King County Food Handler's Permit within 14 days of hire.
- Must have valid Washington driver's license to operate the college vehicles.
