Position Summary  

This position, as part of a team, handles the scheduling for all departments/divisions within the Academic Affairs office, under the supervision of the Director of Academic Operations. This position will assist in streamlining workflows and processes' centralization across academic divisions and campus departments. This position will also assist with recording curricular changes and processing stipends and releases. 

This is a temporary project position and expected to end on 06/30/2025. The position could become permanent should funding become available. 

Pay, Benefits & Work Schedule  

Position Salary Range: $45,900/year - $61,296/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

We offer comprehensive compensation package with salary and benefits as the main components. Competitive salary is within the Range stated above, and commensurate with qualifications and experience. Generous benefits package is offered through Washington State plans that includes multiple medical, dental, life and disability coverage choices for employees and dependents; choices of retirement and deferred compensation plans; paid holidays, sick, and vacation plans; transit program, reduced tuition, employee discounts and memberships, etc.

The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

Essential Functions  

Class Building

  • Build classes
  • Troubleshooting class build errors
  • Create Enrollment Requirement Groups and add to the linked classes
  • Add appropriate footnotes
  • Add Inclusive Access fees (digital materials) as per coordination with the Bookstore
  • Update class information as instructors and modalities change, classes are canceled, etc.
  • Run and generate accurate quarterly enrollment reports
  • Add correct assignment types
  • Add correct EMPL RECD (or make sure Director of Operations knows new record is needed)
  • Modify Instructor/Advisor table as needed
  • Communicate notifications of class cancellations to students via ctclink
  • Request canvas /course mergers
  • Reserve classrooms for in-person class meetings
  • Troubleshoot issues associated with the class building and Canvas integration and work with the Director of Academic operations to escalate to SBCTC if necessary

Faculty Workload and Stipends Processing

  • Run FWL (Faculty Workload) calculations
  • Request new employee records. Reconcile employee records and correct misused combo codes if any
  • Code and process faculty contracts in ctclink for part-time, moonlight and special assignments for faculty
  • Discern faculty load levels, code, and process accordingly. This includes troubleshooting individual cases to ensure faculty are accurately compensated
  • Track Annualized Associate and part-time faculty loads
  • Process stipends if requested/authorized
  • Back up for Director of Academic Operations for FWL-related situations
  • Build releases/all stipends under guidance of Director of Academic Operations
  • Generate quarterly contracts for Academic Success Center Tutors
  • Contribute to centralization and standardization of administrative procedures tied to faculty contracts
  • Run regular reports to identify and address the errors
  • Troubleshoot issues associated with the faculty workload and work with the Director of Academic operations to escalate to SBCTC (Washington State Board of Community and Technical Colleges) if necessary

Curricular Changes Recording

  • Actively engage in the work other Academic Affairs Office members on the annual basis to process curricular changes with numerous systems of record

Fees Audit

  • Run queries on a regular basis to ensure sections' fees get assessed properly and post changes as necessary
  • Ensure catalog level fees, sections' level fees, course list level fees and term fees get properly disclosed to the students
  • Troubleshoot issues associated with the fees and work with the Director of Academic Operations to escalate to SBCTC if necessary
  • Perform other Duties as Assigned
Minimum Qualifications  
  • Bachelor's degree, or any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis 
  • Knowledge or experience working in database
  • Effective written, verbal, listening, communication, and problem-solving skills 
  • Effective ability to manage and prioritize tasks while meeting competing deadlines
  • Demonstrated experience working with diverse colleagues and/or students in a collaborative and inclusive environment, including skills in fostering a climate of equity and belonging through multicultural awareness and competence
  • Demonstrated experience collaborating with multiple stakeholders 
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint, and SharePoint)

 

Preferred Qualifications  
  • Experience building classes and/or experience with Faculty Workload in ctcLink 
  • Experience with PeopleSoft
