The Department of Economic Security, Division of Benefits and Medical Eligibility is seeking an experienced and highly motivated individual to join our team an Examiner Technician 2 (ET 2) for Centralized Document Services (CDS). The person in this position prepares client eligibility documents, categorizes using bar-codes, scans, indexes, and uploads documents into the Family Assistance Administration's (FAA's) Document Management System (DMS) via a computer terminal or Multi-Function Printer (MFP) and/or Health-E-Arizona plus system (HEA Plus). This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

All work, including remote work, should be performed within Arizona unless an exception is properly authorized in advance.

Job Duties:

Essential Duties and responsibilities include but are not limited to:

  • Review documents/applications received from local offices and potential clients to ensure they are completed, date stamped, researched in FAA's automated system, OnBase, Arizona Technical Eligibility Computer System (AZTECS) and/or Health-E-Arizona plus (HEA Plus); register for appropriate program(s); index appropriate screens into FAA's Document Management System, OnBase, AZTECS and/or HEA Plus or prepare for scanning, and place in appropriate system.
  • Upload documents into FAA's Document Management System (OnBase) via computer terminal or MFP. Validate all documents that are scanned, re-index documents scanned to the incorrect eligibility type.
  • Set alerts and index Arizona Supplemental Nutrition Assistance Program (SNAP) notices. Upload change reports, correct address in system and document Case Documentation (CADO). Indicate any changes to the client's households as indicated on the Mid Approval Contact form. Submit a client request for appeals through HEA Plus or send the case to Office of Inspector General (OIG) for review.
  • Pick-up return mail, open, date stamp, sort, prepare, research FAA's automated system (OnBase), AZTECS and/or HEA Plus, prepare documents for scanning, set alerts and/or send emails if appropriate. Ensure all documents are translated to English. Ensure all documents sent over by other agencies are reviewed thoroughly and are disseminated to the appropriate queues. Answer the telephone, screen the calls, and refer to the appropriate person and/or office following administration and office/unit guidelines, may require translation services or bilingual speaking staff.
  • May serve as a lead to monitor or assist with monitoring of schedules, workflow, assists with educating staff on work functions, gather and compile data and submit reports accurately and timely. Based on the queues worked, may require separating and uploading documents to the correct document type(s) and/or case(s). Requires research of OnBase, HEA Plus and AZTECS.
Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • Basic knowledge of program rules, regulations, policies and procedures.
  • Imaging equipment (scanner, Multi-Function Printer, terminal, etc.)
  • Computer software programs (Microsoft Word, Excel, Google Suite, Google Docs, Google Sheets).

Skills in:

  • Good listening, oral and written communication skills.
  • Establish and maintain effective working relationship skills.
  • Effective time management and organizational skills.

Ability to:

  • Compile data and complete reports accurately and timely.
  • Multi-task and prioritize.
  • Apply policies and procedures accurately and timely.
Selective Preference(s):

The ideal candidate for this position will have:

  • Computer experience and Customer Service Experience in an office setting.

Retirement:

State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period. The ASRS defined benefit plan provides for life-long income upon retirement. You will also have the option to participate in a voluntary deferred compensation program to take advantage of tax-deferred retirement investments.
