About the Role:

Are you passionate about maintaining a high level of organisation in your day-to-day activities? We are currently seeking a qualified Administration Assistant for a permanent, part-time role at the Pinjarra Refinery Workshop. This position reports directly to the Workshop and Stores Manager, and it holds a pivotal role within the broader Pinjarra Administration team, with an expected commitment of 3 days per week. There is also the potential for this role to transition to full-time employment in the future.

The responsibilities associated with this role encompass the delivery of a confidential and professional administrative service to the Manager, Superintendent, Supervisors, and other support staff within the department.

Key functions of this position include:

  • Efficiently managing the Manager's schedule and appointment coordination through the utilisation of office automation systems and strong interpersonal skills.

  • Employing various software systems to provide essential data to area personnel and customers in multiple formats, including Word, Excel spreadsheets, and graphical computer systems to facilitate the creation of reports, presentation materials, and statistical data.

  • Exercising sound business judgement and professionalism when drafting correspondence for internal and external contacts to meet the communication requirements of the management team.

  • Contributing to Workshop efficiency by overseeing the successful execution of special and ongoing projects, ensuring the coordination of necessary resources.

What you can bring to the role:

To play a part in our ongoing success we are seeking someone with:

  • Proficiency in using computer applications, particularly Microsoft Suites and Alcoa's database systems like Oracle.

  • Strong communication skills to effectively convey important messages across various levels of the organisation.

  • A commitment to maintaining confidentiality and a keen attention to detail, accompanied by a proactive approach to meeting deadlines.

  • Self-motivation and the ability to work autonomously, along with effective task prioritisation when dealing with a diverse customer base.
