The Opportunity

  • One year part time contract position (up to 2.5 working days - 0.5 of full-time equivalent) with a prestigious scholarship program
  • Location: Port Moresby, PNG

Position Overview: 

We are seeking an experienced and dynamic Secretariat Support Officer to join our team. The Secretariat Support Officer will be responsible for providing administrative and clerical support to the PNGAAA, including record keeping, coordination of email and telephone correspondence, scheduling key activities and meetings, and supporting the administration of the PNGAAA election processes. This role involves ensuring strong commitment to and compliance with Tetra Tech's values and policies.

Key Responsibilities:

  • Support the PNGAAA National Executive with scheduling activities and meetings, including sourcing venues, maintaining RSVP lists, and sending invitations.
  • Book travel logistics and calculate per diems for agreed PNGAAA travel.
  • Support the administration and logistics for the annual PNGAAA National and Chapters Planning Workshop.
  • Liaise with PNGAAA National and Chapter Executives to update the annual membership register.
  • Coordinate amendments and updates to the PNGAAA website.
  • Provide secretariat services at National Executive board meetings.
  • Monitor and update information on the PNGAAA social media platforms.
  • Regularly review and update standard operating procedures.
  • Develop and maintain effective working relationships with key stakeholders.
  • Other duties from time to time, as may be reasonably requested by DFAT and Tetra Tech

Selection Criteria:

  • Minimum of a diploma qualification in administration, project management, communications, education, and/or human resources development or an equivalent combination of relevant experience.
  • Strong organisation and time management skills, including the ability to manage competing tasks in a timely manner.
  • Experience in providing a secretariat support service.
  • Strong computer skills using all Microsoft Office 365 applications.
