Tetra Tech is recruiting for a Operations and Logistics Coordinator to work on the Inclusive Energy Sector Workforce (IESW) Activity under the Millennium Challenge Account (MCA) Kosovo  Just and Equitable Transition Acceleration Project.  IESWA aims to improve the energy sector working environment to enable women to enter and succeed in the sector. This activity will promote gender-equitable practices among energy sector employers, provide technical assistance and grants to help increase female representation in energy companies in Kosovo, and support networking, mentoring, and other educational and learning opportunities for women.  The implementation period for IESWA is expected to be from June 2024 to May 2028. 

The Operations and Logistics Coordinator will be responsible for organizing office operations, logistics for activities and events, and provide overall administrative support to the IESW Activity team. This position will report to IESWA Team Leader, will be full-time, and in Pristina, Kosovo.

Position responsibilities

  • Conduct all administrative and logistical tasks to ensure adequate implementation of the IESW Activity including managing office space, coordinating events logistics, and handling procurement processes.
  • Manage IESW Activity office space and serve as point of contact with co-working space manager for conference room reservation, printing, IT support, and use of facilities ensuring seamless use of the co-working space by the IESW Activity team.
  • Conduct planning logistics and budgeting of special meetings, workshops, training, and project events.
  • Conduct procurement for project purchases including identification of vendors, collection of price quotes, and documentation of the procurement and purchasing processes, in coordination with the Tetra Tech Home Office Project Manager.
  • Coordinate with project suppliers including co-working space, venue and catering, and transportation providers.
  • Organize travel and accommodation for short-term experts including reservation of flights, lodging and in-country transportation according with Tetra Tech policies.
  • Coordinate with service providers for IT support, transportation/couriers, postage, traveling, office supply purchasing.
  • Coordinate communications with Home Office IT support for all issues related to Tetra Tech hardware and software use.
  • Coordinate all electronic record keeping of IESW Activity office documents, procurement and purchases documentation in coordination with Home Office Project Manager.

Minimum qualifications

  • Bachelor's degree in Business Management, Public Administration, Development Studies, Gender Studies.
  • A minimum of three years' experience managing international development project operations.
  • Demonstrated ability in successfully interacting with local vendors and private sector clients.
  • Proven experience providing logistical and administrative support to projects
  • Proven competence in MS Excel, PowerPoint, and Microsoft Office Suite including Microsoft Teams and SharePoint.
  • Strong cross cultural and communication skills.
  • Ability to work professionally in English and Albanian.

Valued qualifications

  • Prior experience in the energy sector.
  • Prior experience in gender equality projects.

Physical demands

  • Hybrid work arrangement with at least twice a week in person work at IESWA office.
  • Occasional national travel within Kosovo.
