What You'll Get to Do: We are currently expanding our successful team in our Denver, Colorado market. There is a need for a part-time Administrative Services Specialist to work in conjunction with our engineers and professionals on multi-discipline teams to develop and support project activities. This position will also support the development of compelling marketing material such as statements of qualifications, proposals and branding collateral. 

Our work is related to the planning, design, analysis, oversight, and studies for dams and water resource projects. A highly client-centric person with a bias for action will do well in this role. Critical thinking skills are required to develop project-specific solutions. This position will serve as support to both project and pursuit teams and will work with teams across the U.S.

Project and Business Development Support

  • Pitch in where needed! Support the team in delivering world-class products and serving our clients
  • Perform technical editing of engineering and scientific documents, conference papers and prepare PowerPoint presentations
  • Assist with various marketing materials such as production of proposals, resumes, and project descriptions
  • Work with various staff members to collect, write, and technically edit resumes, project descriptions, firm profiles, and other content as required for proposal production
  • Coordinate development of graphics for proposal and interview materials
  • Provide support to Business Development team as needed
  • Provide general research, as required
  • Prepare proposal initiation, closeout, and subcontract documents
  • Assist in scheduling and notetaking for meetings both in and outside the office
  • Monitor and assist with the tracking of monthly financial reports on projects, proposals and conference/marketing expenses
  • Provide technical and marketing assistance including technical editing, graphics support, formatting, compilation and production of technical and business development/marketing reports, memos, proposals, brochures, tables, spreadsheets and correspondence
  • Assist with project and marketing material(s), file organization and archiving

Office Administration

  • Process accounts payable; prepare and submit expense reports. 
  • Assist with business meetings, catering, travel arrangements
  • Maintain and organize office/field equipment and supply orders
  • Identify and help evaluate ways to enhance work environment and office morale; oversee approved implementation steps
  • Organize special functions, social events and employee recognition
  • Assist with professional conference support
  • Maintain Notary Public certification for notarizing documents

You'll Bring These Qualifications:

  • Minimum 5 years of consulting services or business experience
  • Bachelor's degree in business, marketing, communications, or related field preferred and/or experience in project administration, accounting, or finance
  • Advanced level proficiency with Adobe Creative Suite and Microsoft Office with strong MS Word capabilities
  • Demonstrated proficiency in complex report formatting to ensure style consistency and documentation standards are followed
  • Experience using Oracle or other enterprise level time/procurement system, highly desired
  • Excellent research capabilities; written and verbal communication skills

The hourly rate for this position is approximately $30 to $35 depending on education, qualifications, experience, and work location.
