FIRST POSTING OPEN TO ONEIDA ENROLLED TRIBAL MEMBERS

SALARY: $20.73/Hr  (NEGOTIABLE)

POSITION SUMMARY:
Coordinate Training, special events, workshops, and meetings and ensure each event has the resources needed. Work with set budget(s) ensuring catering and training supplies, travel are optimized and efficiently coordinated. Provide administrative assistance for the Marketing areas.

DUTIES AND RESPONSIBILITIES:

  • Always deliver excellent customer services for internal and external customers of the Marketing areas in all activities.
  • Develop solutions for customer concerns and continually focus on customer services as our top priority.
  • Assess and analyze work performance activities for the purpose of continually improving work area.  Ensure systems are in place which guarantees work activities are completed and guarantee positive results.
  • Participate in regular department meetings.
  • Ensure compliance with regulatory requirements in all areas at all times. Learn and understand regulations to assist Management with compliance.
  • Welcome visitors, determine nature of business and announce visitors to appropriate personnel, maintaining professional and courteous demeanor.
  • Receive, sort, log, and route mail. Screen correspondence: exercise judgment and respond accordingly.
  • Maintain supplies, and conference rooms ensuring that all applicable resources and supplies, materials and equipment are readily available for meetings.
  • Coordinate, schedule, and maintain registration for meetings, trainings and /or workshops.
  • Ensure effective communication with team members, clients, vendors and customers via email, telephone and in-person meetings, ensuring consistency.
  • Participate in the coordination and development of work plans and projects, track progress, planning and execution. 
  • Work within event budget(s) for trainings, meetings, workshops, ensuring catering, supplies, and event fees for speakers or travel is efficiently coordinated.
  • Process appropriation requests, invoices, and contracts; reconcile accounts, and keep accurate up-to-date reports and electronic filing. Ensure purchases are processed timely to utilize discounts, prevent fines, late fees, and disruption of service.
  • Prepare and review correspondence, reports, minutes, agendas, memos, forms and other documents from drafts, recordings, meetings.
  • Enter data and run reports from departmental databases and information tracking systems (accounting systems, customer service issues tracking, spreadsheets, etc.).
  • Maintain financial records, process accounts payable, purchasing and travel. 

MINIMUM QUALIFICATIONS:
  • Must be eighteen (18) years of age or older.
  • High School Diploma, HSED Diploma or GED Certification; applicants age Fifty (50) and older are exempt from this requirement.
  • Two (2) years of administrative experience, purchasing and/or in a related area of logistics/supply chain management and inventory management software programs is required.

PREFERRED QUALIFICATIONS:

  • Associate degree in Business or Administration.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: 

  • Frequently sit and walk.  Occasionally stand.
  • Work is generally performed in an office setting with a moderate noise level. Work is occasionally performed in a casino setting 
  • Work environment may NOT be smoke, noise, or dust free.
  • A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.
