General Summary of Position
Develops and implements procedures and tracking/auditing systems for the storage, maintenance, and retrieval of pathology materials including, microscopic glass slides, paraffin-blocked tissue (paraffin blocks), and other specimens for the Department of Pathology.


Primary Duties and Responsibilities

  • Ensures the timely and accurate receipt, cataloguing, and storage of microscopic glass slides, paraffin-blocked tissue, and other specimens retained for storage. Repackages paraffin-blocked tissue and other specimens as required to insure maximum, efficient utilization of storage space. Periodically shifts and condenses older, stored material to increase storage space available for newer material.
  • Retrieves microscopic glass slides, paraffin-blocked tissue and other stored pathology material. Insures materials are properly retrieved and that proper documentation is entered into the tracking/monitoring system.
  • Checks the different storage areas for misfiles of Pathology materials. Repairs broken slides as appropriate and identifies and records slides broken beyond repair and maintains records. Re-labels slides as necessary and assists in the identification of slides which have lost labels or whose labels have become illegible.
  • Reviews, records, and tracks incoming microscopic glass slides, paraffin-blocked tissue, and other specimens sent from outside sources for storage and/or in conjunction with an external consultation. Acknowledges receipt of item(s)/request(s) and returns completed cases to the originator with a copy of the consultation report.
  • Processes legal requests, following departmental policy including recut requests. Tracks these requests to ensure time lines/deadlines are met and that each case is reviewed by the releasing pathologist. Bills and collects, through the appropriate party, fees for services provided.
  • Conducts periodic inventories of stored material checking for omissions. Notes deletions and discrepancies. Takes corrective action to update tracking system/database. Monitors the tracking system, on a monthly basis, to ensure that slides and blocks are returned. Follows-up with customers, who have not returned materials, documents communications with these customers, and ensures that materials are returned.
  • Maintains adequate stock supplies for storage ensuring there no interruptions in workload due to stock outages. Identifies and reports any problems concerning physical structure of the storage areas. Provides input to management on space, storage, and record-keeping needs for budget planning.
  • Compiles workload and productivity statistics. Gives tours of the storage area(s) to authorized personnel. Attends meetings as requested providing input concerning materials storage, retention and retrieval procedures.

    Minimum Qualifications
    Education

    • High School Diploma or GED required
    • May require up to l year of technical or other specialized training indicating.

    Experience

    • 1 to 3 years experience in inventory control/storage tracking and/or in a histopathology laboratory required

    Knowledge, Skills, and Abilities

    • Knowledge of proper procedure(s) for preserving and storing pathologic specimens, storage techniques (including efficient space utilization, inventory control, and retrieval systems), and general knowledge of anatomical laboratory practices such as histopathology are preferred.
    • Requires the ability to read and write; and knowledge of grammar, and arithmetic including fractions and decimals.
    • May require the use of standard office/medical equipment (i.e., typewriter, personal computer, data terminal, on-line printer, calculator, telephone, facsimile, copier, sterilizing equipment, blood pressure cuff, or tables); the preparation, comparison or checking of reports, records and related data; and basic use of formulas, charts, tables, drawings and knowledge of their application.


    This position has a hiring range of $20.941 - $31.852
