As a Materials Management Systems/Operations Coordinator, you will act as a system support administrator/customer liaison between Materials Management and the end users, ensuring the benefits of the ARS system (Advanced Replenishment Supply). Oversees the administration of the Lawson and Par Excellence systems. Additionally, analyzes information from each system and makes recommendations to the end-users.

Primary Duties:
Acts as manager in the absence of the Materials Manager. Ensures that supplies and equipment received are processed and distributed promptly. Plans, organizes, and directs all phases of product distribution activities. Plans and coordinates the transfer of materials from warehouses. Monitors patient and specimen transport to ensure timeliness of transporting, patient safety, and comfort. Functions as the site administrator for all aspects of materials management information system including maintain and insure the data integrity of all systems as it relates to daily operations; execute Item Master updates to the Par Excellence database from Lawson on a routine basis; run, analyze, and distribute reports from both systems; backup Par Excellence System on a daily basis; maintain/troubleshoot Par Excellence System components (i.e., replace batteries, boards, etc.) and Scan Module components. Monitors/troubleshoots the system status and interface status daily.
Identifies customer needs and customer service opportunities. Meets regularly with management and staff in the end user areas. Loads/unloads material, equipment, merchandise and supplies from automobiles, trucks, and other vehicles. Routes incoming goods to the proper department. Arranges adequate space requirements for storage of products and modifies distribution techniques and practices. Monitors Par Excellence end-user compliance by department. Interacts with department managers to review compliance levels, user competency and conduct end-user training on all systems. Reports results to the Material Manager. Monitors par levels/quantities and reviews with each end-user periodically. Adjust levels and quantities as needed. Modifies racking configurations to accommodate changes in par levels/quantities or the introduction of new products.
Monitors requisitions from par areas. Takes responsibility for the accuracy of receiving reports, purchase orders closures, order requisition generation and data entry. Performs/oversees quality control (statistical receiving) checks on shipments from the regional distribution center. Updates the monthly Performance Improvement monitoring tool, which is presented by the Materials Manager to department managers. Performs quality control audits on the performance of the Material Handlers, takes appropriate disciplinary action relative to their work performance and reports the results to the Materials Manager. Responsible for the preparation of performance assessments on Materials Management staff. Supervises the day-to-day operational activities of the warehouse staff.
Responsible for inventory control within the warehouse. Monitors and does quality control checks on the warehouse inventory and takes appropriate action on all discrepancies. Supervises the data entry of daily inventory counts that result in identification of lost patient charges, notification of appropriate clinicians of lost charges, issues and transfers of medical/surgical supplies, and the electronic data interface with the distributor. Ensure that charge tickets are on all patient-chargeable supplies. Responsible for the crediting of inventory items returned to Storeroom for clinical units.
Qualifications:
High School Diploma or GED.
3-4 years Material management system experience including automated system operations for material management.
Customer service experience and experience in working with material management related reports and analyzing information.
Associate's degree in business preferred.
