Job Summary: 

MedStar Health is looking for an Ambulatory Practice Supervisor to join our team at MedStar Washington Hospital Center! The ideal candidate will be able to perform in a high-pressure environment, appropriately motivate staff, organize, and prioritize work, and have excellent interpersonal skills. 

The Ambulatory Practice Supervisor will oversee and coordinate all administrative matters relating to financial and personnel operations for designated ambulatory practices and their offices both on the main campus and the offsite locations. Has responsibility for all aspects of patient scheduling, registration, and managing the office patient workflow. Supervises and provides direction to staff to accomplish the daily functions of the practice offices including but not limited to providing support for the various ambulatory physicians and other providers. Responsible for superbill preparation, charge entry, front-end billing processes, management of office and clinical supplies, customer service and service recovery, and daily operations workflow.

Primary Duties: 

  • Oversees front desk operations for designated area, including telephone management. Ensures patients are greeted and registered promptly and courteously; copayments and full payments are received from all patients as required; and proper identification is obtained from patients. 

  • Assists in the coordination of daily patient throughput. Adjusts schedules/patient appointments to meet changing priorities due to severity of patients' needs. 

  • Functions as registration/scheduling system superuser. Provides break coverage for front desk staff when short staffed. 

  • Implements and follows established policies and procedures relating to the department's administrative functions. Follows established billing policies and procedures for the department. 

  • Assists with the interviewing, selection, onboarding and orientation of staff in the assigned area of responsibility. Provides input during employee evaluations. As required, handles all personnel-related activities for the department, including the hiring and termination of administrative/clerical staff, employee evaluations, employee physicals, tuition assistance, property receipts, and employee requisitions. 

  • Ensures patient and guests have a superior experience. Serves as a liaison between patients and staff. Resolves problems, conflicts, and concerns. 

  • Identifies opportunities for staff to develop customer service skills and delivers appropriate counseling and training. Initiates service recovery as needed. 

  • Participates in department planning and development including preparation and justification for staff and equipment. 

  • Serves as departmental liaison with internal departments and with external vendors. 

  • Analyzes, reconciles, verifies and monitors reports, e.g. phone abandonment, supply usage, visit volumes, payroll, charges and expenses etc. 

  • Reviews mail daily. Ensures patient-related documentation to be indexed/scanned to the EMR is completed expeditiously. Oversees Medical Assistants assigned to index/scan documentation. 

  • Reviews and verifies daily TOS receipts, conducting an audit of services rendered to balance co-pays and superbills. Ensures cash security and cash balancing are properly maintained and completed. Makes daily deposit or serves as point of contact for courier pickup of deposit. 

  • Coordinates completion of vouchers, purchase orders, check requests, and other financial forms necessary for operation. 

  • Analyzes supply usage, maintains working supply knowledge, and oversees ordering and maintenance of required supplies within the office. Develops and maintains department reports for tracking. 

  • Maintains current knowledge of technical and business developments and communicates relevant information to the group. 

  

Qualifications: 

  • Associate's degree required; bachelor's degree preferred. 

  • 3-4 years of progressively more responsible job-related experience in the oversight of front desk or back-end clinic operations and/or billing, and/or scheduling required. 


This position has a hiring range of $58,656 - $93,246
