Executive Administrative Assistant & Office Manager
Onsite – NYC Financial District/Lower Manhattan
Temp to Hire with quick conversion – hourly rate $40-$50 per hour
Salary - $85000 - $100k range plus benefits and bonus (when hired perm)
Industry - Financial services or hedge funds a big plus

We are seeking a highly organized and proactive Executive Administrative Assistant & Office Manager to support the leadership team and ensure smooth day-to-day office operations. This role combines high-level executive support with office management responsibilities in a dynamic, fast-paced environment.

The ideal candidate is a resourceful problem-solver with a “can-do” attitude who thrives in a fast-paced setting. Key Responsibilities
Executive Support:

  • Manage complex calendars and schedule meetings for executives
  • Arrange domestic and international travel logistics
  • Handle phone calls, correspondence, and email management
  • Prepare and edit documents and presentations
  • Maintain and update client contacts and organize files
Office Management:
  • Oversee daily office operations and manage facilities
  • Coordinate with service providers and suppliers
  • Implement and improve internal processes and workflows
Administrative Tasks:
  • Process expense reports and reimbursements
  • Prepare clear and accurate travel itineraries
  • Organize on-site and off-site meetings and events
  • Manage office supplies and equipment
Human Resources Support:
  • Assist in coordinating recruitment for various roles

Qualifications:
  • Bachelor's degree required
  • 2+ years of experience as an Executive Assistant, preferably in financial services or hedge funds
  • Strong proficiency in Microsoft Office Suite
  • Excellent organizational, communication, and interpersonal skills
  • Ability to handle confidential information with discretion
  • Adaptability to a fast-paced, high-demand environment
