Job Summary

Responsible for verifying and processing invoices and requests for payment to the organization's vendors and staff in a timely, accurate and efficient manner.  Maintains master vendor files and logs and handles phone inquiries related to Accounts Payable.

Essential Responsibilities

  • Responsible to prioritize, verify and process invoices and requests for payment to vendors and/or staff, accurately and timely.
  • Researches and resolves discrepancies with vendors and staff.
  • Provides assistance for phone inquires from vendors and staff related to Accounts Payable.
  • Responsible to reconcile vendor statements timely, and prepare journal entries and general ledger adjustments.
  • Determines 1099 payments and use tax liability.
  • Responsible to maintain an accurate vendor master file.

Position Requirements

Minimum Qualifications - An equivalent combination of education and experience may substitute for the requirements listed.

  • High School Diploma or Equivalent.
  • Minimum of 2 years of directly related experience.
  • Strong organizational skills to prioritize and handle multiple assignments.
  • One to two years prior work experience with automated accounting systems.
  • General accounting and office experience.
  • Attention to detail and a high degree of accuracy.
  • Good communication and analytical skills.
  • Proficient in MS Office applications.

Physical Requirements

  • Frequently sits, perform desk-based computer tasks and grasp light or fine manipulation, talk or hear.
  • Occasionally stand and/or walk, write by hand, and lift and/or carry, push and/or pull objects that weigh up to 10 pounds.
  • Rarely twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.

Working Conditions

  • This position may involve traveling to various locations, including neighbor islands to conduct business.
  • Work is conducted in an office/school environment and may require work to be conducted in non-standard workplaces.
  • Work is typically conducted Monday through Friday at normal business hours but evening and weekend hours are often required to meet goals and objectives.
