POSITION SUMMARY:

A high level of complex and confidential duties are performed in developing, processing, and maintaining student records and databases, which provide students, faculty, and staff with accurate and timely information. Key functions will be to process graduation audits to ensure students have met graduation requirements and notifying students of the results of audit. Approximately 2,900+ credentials are awarded annually. Each credential requires a minimum of two audits (preliminary and final) prior to final awarding or denial of application. Process finalized audits to include: updating final transcripts, diploma production and communication of all audit findings to students.

The incumbent will collaborate with the Registrar, Academic Advising Office, and Academic Program Coordinators to increase program completion through systematic review of graduation processes and development of broad scale improvements. Responsible for record keeping and completing all Reverse Transfer processes, which includes transcript evaluations. Responsible for processing specialized graduations audits.  Facilitate submission of necessary substitutions and waivers for student validation and graduation by providing necessary information to Student Success Advisors and/or Program Coordinators. Process submitted substitution/waiver if requested by Registrar. Approximately 1,000+ are submitted per academic year. Process validation audits for all clinical programs. Collaborate with Academic Office and Marketing for annual Commencement Program and data mining. Provide high-quality point-of-service customer service via: phone, email and in-person on a daily basis, which increases during peak registration periods.

Team members share responsibility for registration email inbox and share responsibility for student registration assistance which requires extensive knowledge of add/drop, waitlist, and refund policies and procedures. This position will be an integral part of the Registrar's Office and will be cross-trained in multiple functions of the office and will have basic training on the functions of other office so as to be able to provide appropriate assistance to students.

Additional tasks may include, but are not limited to: registration of students, processing student record updates, intake of paperwork, transcript processing, and assisting with various events. The incumbent may also be asked to provide training and/or present to groups of students or staff especially regarding graduation requirements and processes. A broad understanding of FERPA, Solomon and other state and institutional policies governing access and release of student records is necessary. Included in this position is evening and occasional weekend hours.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:

  • Process all MTA applications and reviews with transfer degree audits.
  • Process validation audits and facilitate submission of necessary substitutions and waivers.
  • Provide high-quality customer service via phone, email and in-person daily, which increases during peak registration periods.
  • Additional duties shall include general registration activity, record updates, intake of paperwork, assisting with other office processes, and other duties as assigned in line with the needs of the office.
