The Administrative Support Clerk - District Operations plays a vital role in ensuring the efficient day-to-day functioning of our District Operations. Reporting to the Administrative Lead, you will be primarily responsible for the accurate and timely entry of time and materials data for our field crews. In addition, you will provide reception and clerical support to the Districts, responding to inquiries, managing correspondence, and assisting with various administrative tasks. This position calls for a proactive individual with strong organizational skills, excellent communication, and a commitment to providing outstanding service.

What will you do?

  • Input field crew time into SAP/PeopleSoft
  • Input materials (e.g., asphalt, sand, CaCl, forestry materials) into SAP
  • Review and verify time entry codes for deficiencies/errors, making corrections and entering time on behalf of staff
  • Respond to inquiries from staff regarding time and materials entry
  • Run audit reports and make corrections as required  
  • Answer, screen, and forward incoming phone calls
  • Open, sort, and route incoming mail; prepare outgoing mail, including arranging for courier services
  • Maintain office security (maintaining log books, issuing visitor badges, etc.)
  • Provide assistance with office equipment (computers, photocopiers, etc.) 
  • Monitor two-way communications systems (radio operations) and maintain contact with field staff 
  • Maintain Safety and Environmental Boards in the District
  • Determine the priority of inquiries/concerns, process action requests, and/or take and redirect/relay messages to appropriate staff
  • Ensure that redirected inquiries are responded to in a timely manner
  • Provide administrative support to the ongoing operations of the business area, including Safety Data entry, Posse inquiries, SAP 311 Notifications/CRM Tickets, etc. 
  • Assist in onboarding/offboarding staff, including workbook and form submittals  
  • Organize meetings as required, including booking rooms, drafting agendas, and taking minutes
  • Ensure document management, retention, disposition, and distribution adhere to FOIP requirements
