Description

The City of Edmonton is looking for a Facility Partnerships and Event Liaison! The Facility Partnerships and Event Liaison understands the positioning of the Coronation Park Sports and Recreation Centre as a unique facility with sport-specific partnerships integrated into a large public recreation centre. The vision for this facility is to meet the recreation, leisure and sport needs of the community as well as to enhance sport development opportunities at all levels for cyclists and triathletes. For these two sports the centre will serve as a year-round training and event facility.If you value working closely with partners, have a passion for sports and recreation, a solution-focused approach to ensure seamless integration of partner operations within a public recreation facility, and are excited about supporting events hand-on, then this position might be just right for you!

What you will do:

Management of Facility Partnerships including operational coordination with Partners:

  • Educate all in- and external users of the facility on the mission, vision, needs and expectations for this unique facility
  • Manage the sport partnerships with the Alberta Velodrome Association (AVA) and World Triathlon Series Edmonton (WTSE), who both played an immense role to realize the vision for an indoor velodrome and triathlon training centre within Edmonton. Both partners continue to play a significant role in this facility: AVA as the Velodrome program/event operator and WTSE as a program partner with guaranteed access to time and space within the facility for training and events
  • Work closely with AVA to ensure the cycling track operations are welcoming and seamlessly integrated into the overall facility operations, both during regular programming and when hosting track cycling events
  • Liaise with WTSE to ensure their access rights are provided as guaranteed and integrated into the public recreation programming/service schedules as best as possible
  • Manage/administer all partner contracts, as well as the processes by which they are created, amended, renewed and agreed to
  • Liaise and build strong relationships with Coronation site stakeholders/partners, ensuring adequate information sharing and collaboration, where/when there is an impact from or to the facility itself.(for example in relationship with EPSB related to the Enhanced Access Model, and with TWOSE)
  • Actively investigate and pursue opportunities to leverage partnerships for mutual benefit
  • Understand and support all work related to facility budget, especially with regards to partner payments and event-related expenses and revenues (e.g. variance reporting)Share and coordinate any facility and/or amenity specific or program/service-related communication between COE and partners
  • Lead or represent COE / CPSRC at various Committees related to the facility (e.g. Joint Partner Operations Committee for COE/AVA)

Event Coordination and event-related operational support:

  • Act as the liaison between AVA, WTSE and the Section's Sport Group and Events Support team to establish the facility's annual event calendar, ensuring guaranteed events are built in while also working towards a balance between public access and events that aligns with the overall facility mandate
  • Communicate event-related information to all relevant internal and external stakeholders to facilitate a well-planned and well-coordinated approach from an events management perspective, i.e. from planning to debriefing
  • Actively contribute and support the planning, preparation, implementation and debriefing of events as needed (i.e. varying level of involvement depending on the event specifics)
  • Be a main point of contact from the City's perspective during events, problem-solve and collaborate with all in- and external stakeholders to provide satisfactory experiences for all facility visitors during an event, i.e. public and rental users, event participants, staff from a variety of areas including facility operations, programs, front counter, communications, etc., partners, and spectators
  • Support facility operations during event set up and take down
  • Liaise with AVA and WTSE, Civic Events, Explore Edmonton on event strategies for the facility

Facility Team and Section Team Support:

  • Manage the facility details that create a ready and welcoming environment where recreation and leisure programming for the public can occur at the same time as cyclists and triathletes are training/competing
  • Integrate with the Facility sub-teams (e.g. front counter, Labourer Crew, Aquatics team, Programming teams, Sports Centre-focused Bookings and Events team, Custodial, Security) and build/maintain great working relationships through timely and appropriate communication, setting of expectations and clarification of roles/responsibilities related to partner day-to-day business operations as well as for events
  • Lead the response to any comments from customers, partners or others related to partner involvement and impacts within the facility and Coronation District Park as whole
  • Support the Facility Lead on operational matters related to OH&S, including inspections, hazard assessments, emergency preparedness in particular as related to events and partner operations
  • Facilitate a solution-focused approach with the appropriate parties when challenges related to this integrated facility model arise
  • Support the facility team  as well as the Branch as needed
