Position Summary
The program coordinator position is responsible for assessing the intake and eligibility of applicants for the Career Education Options (CEO) program.
This position also ensures compliance with program requirements and maintains accurate documentation. The role involves managing the intake process, evaluating eligibility criteria, and guiding applicants through the enrollment process while maintaining confidentiality and professionalism.
Pay, Benefits & Work SchedulePosition Salary Range: $43,812/year - $58,368/year
The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

About the DepartmentCareer Education Options (CEO) is a specialized program. It is a youth re engagement program set up by Washington State Legislative under House Bill 1418. WAC 392-700 was written to ensure that students who have dropped out of high school, or very likely to do so, are given the opportunity to continue their education through the re engagement system¿which offers the ability to provide multiple pathways of educational programming in addition to a high school diploma, allowing students to study for their high-school equivalency certificate, enables them to attend college at no cost, provides high level of case management support, and does not require them to have high school graduation as their primary goal.
Essential FunctionsIntake Process
- Serve as the first point of contact for program inquiries and applications.
- Provide clear and accurate information about program services, policies, and eligibility requirements to applicants, families, and partner organizations.
- Assist applicants in completing required forms and documentation, ensuring accuracy and completeness.
- Schedule and conduct intake interviews to gather relevant information from applicants.
- Collect data, documents and maintain electronic files for students to maintain compliance with state regulations and laws.
Data and Documentation Management
- Maintain detailed and organized records of applicant files, including electronic and physical documentation.
- Enter and update applicant information in program databases accurately and in a timely manner.
- Prepare reports on intake and eligibility metrics as required by supervisors.
- Review applications and supporting documents to determine eligibility based on program WAC¿s and RCW¿s.
- Verify applicant information, and other required documentation.
- Maintain compliance with state WAC¿s and RCW¿s, institution and organizational policies when assessing eligibility.
- Communicate eligibility decisions to applicants in a timely and professional manner.
- Recommend alternative resources or services to ineligible applicants.
Outreach and Collaboration
- Provide information sessions to potential students, parents and other public organizations.
- Collaborate with community partners, referral agencies, and internal departments for resources for students.
- Participate in outreach events and activities to promote the program and attract eligible participants.

Perform other duties as assigned.
Minimum Qualifications- High School Graduate or equivalent.
- Two (2) years of customer service experience.
- Proficient in Microsoft office software such as Outlook, Word, Excel, PowerPoint and Teams.
- Demonstrated ability to effectively prioritize tasks, manage multiple projects, and maintain accuracy.
- Effective written and verbal communication skills, including effective customer service skills.
- Experience working effectively in a collaborative environment with diverse employees, and customer/client groups.
- Demonstrated ability to work independently.
- Experience presenting program requirements and material.
- Two years¿ experience working with ¿At Risk¿ youth, or equivalent education/experience in related field.
