This will be a hybrid role based out of the Banfield Pet Hospital headquarters in Vancouver, WA.

Salary Range: $19.24 - $26.46/hour (DOE)

Summary and Qualifications:

Facilitate the behind-the-scene processes, providing support for Talent Acquisition functions by delivering seamless, accurate and consistent Human Resource information and data administration.

Interface with internal and external contacts performing assignments of a sensitive nature requiring a high level of customer service and attention to detail.

Essential Responsibilities and Tasks:

  • Live and exemplify the Five Principles of Mars, Inc. within self and team.
  • Ensure confidentiality of all sensitive and proprietary information such as calendars, documents and correspondence.
  • Maintain Outlook calendars for Talent Acquisition. Schedule appointments and ensure specific issues are scheduled for follow-up.
  • Take messages and return phone calls, as appropriate, coordinating conference calls and travel arrangements.
  • Act as a liaison between Talent Acquisition and other teams, representing Talent Acquisition in a positive, supportive, professional manner to associates, management, vendors, visitors and strategic partners.
  • Arrange candidate interviews, managing attendee and rooming lists, preparing agendas, interview guides, onsite set up of facilities and other necessary coordination.
  • Coordinate and monitor new associate Phase I on boarding including offer letters, employment document collection, background checks, and licensure requirements.
  • Prepare offer letters and new hire paperless packets for candidates, auditing for accuracy.
  • Provide consistent and accurate information about compliance and new hire documentation, including I-9, E-Verification, Verification of Employment.
  • Assist in the continuous development and improvement of information and processes required to perform quality service delivery.
  • Act as main point of contact for external and internal customers inquiries regarding hiring processes, ensuring inquiries are managed with a sense of urgency and according to Banfield standards of courtesy and customer service. 
  • Maintain and support the Referral Program, providing referral report, processing the incoming referrals and referral payout report.
  • Maintaining job posting ads such as AVMA and career website posting.
  • Provide the Talent Acquisition team administrative support.
  • Code and monitor approval of departmental invoices pertaining to background, reference, and license vendors. P-card holder for Talent Acquisition responsible for expense tracking and coding.
  • Understand practice standards and employment practices completely, with the ability to catch errors and omissions in the employment process and associated documentation. Post and remove job advertisements to increase brand recognition and accurate candidate activity for sourcing qualified candidates.
  • Update, maintain, and utilize applicant-tracking systems, including data entry, reporting and candidate management. Provide cross-training and back-up to Talent Acquisition Team as needed.
  • Support the camaraderie, team building and engagement efforts of the Talent Acquisition team as a whole.
  • Provide back up support to the Program Specialist assisting with special team projects when needed.
  • Other job duties as assigned.

Special Working Conditions:

  • Ability to work at a computer for long periods of time. 
  • Project timelines and work volume/deadlines may often require more than 40 hours per week to complete essential duties of this job.
  • Must have mental processes for reasoning, remembering, mathematics and language ability (reading, writing, and speaking the English language) to perform the duties proficiently.
  • Ability to carry out instructions furnished in written, oral, or diagram form and to solve problems involving several variables.
  • Ability to stand, walk, stoop, kneel, crouch, and climb as well as manipulate (lift, carry, move) up to 50 pounds.
  • Requires good hand-eye coordination, arm-hand-finger dexterity with the ability to grasp, and visual acuity to use a keyboard and operate necessary equipment.
  • The noise level in the work environment is normally moderate.
  • Environment where pets are present.

Experience, Education and/or Training:

  • Bachelor's degree in Business Administration or Human Resources is preferred, or the equivalent combination of education, training and experience that provides the required knowledge, skills, and abilities.
  • Two years of experience in of HR recruiting support are required, with HR compliance experience preferred.
  • Excellent communication (written and verbal), customer service and administrative skills with strong attention to detail and ability to handle confidential information professionally are required.
  • Flexibility to work in a fast-paced, multitask environment is required.
  • Excellent working knowledge of Microsoft Word, Excel, Outlook, and applicant tracking system is required, with preference given to Workday expertise.
  • Demonstrated ability to effectively present information and respond to questions from managers, clients, customers, and the general public is preferred.
  • Healthcare background (veterinary or human healthcare, pharmaceutical, etc.) is preferred.
