This will be a hybrid role based out of the Banfield Pet Hospital headquarters in Vancouver, WA.

Salary Range: $28.70 - $35.00/hour (Depending on experience and location)

Summary and Qualifications:

  • Ensure benefits and leave programs are accurately and efficiently administered in compliance with applicable laws and practice policies.
  • Educate and inform Associates of benefits and leave plans through a variety of communication channels (i.e. in-person, phone, email, Service Now, other media channels, etc.)
  • Coordinate with outside vendors to ensure efficient and quality service provided to Banfield and our Associates.

Essential Responsibilities and Tasks:

  • Live and exemplify the Five Principles of Mars, Inc. within self and team.
  • Respond to associates' questions regarding benefits programs, LOA, ADA, and policies, providing prompt and quality customer service and detailed follow-through.
  • Designate and maintain payroll and HRIS systems related to plan eligibility and participation to accurately support plan and leave administration.
  • Manage and administer the Deferred Compensation Plan and 401(k) Savings Plan(s) in coordination with the third-party administrator (TPA), including eligibility, enrollment, and contribution audits, administration of participant loans and rollover distributions, timely submission of contribution funding to associate accounts, etc. Ensure regulatory compliance to applicable laws (e.g., non-discrimination testing, ERISA, annual audit, etc.).
  • Administer leave of absence programs, including Federal and State FMLA, Personal Medical, Personal LOA, Parental Leave, Military, ADA, and medical accommodation requests, in partnership with external vendors and internal stakeholders, in accordance with federal and state regulations and practice policies.
  • Document benefit program and leave administration practices and procedures, focusing on continual improvement. Recommend corrective or alternative actions to resolve problems.
  • Manage and administer benefits and leave programs in compliance with applicable laws and practice policies.
  • Provide clear and concise communication of benefit and leave plan information and processes to Associates. Work with line manager on escalated issues and assist other team members with questions and customer service issues.
  • Prepare written communications for various benefits and leave purposes (Associate education, letters, emails, other media channels, etc.).
  • Assist with Open Enrollment for benefits and retirement plans, including coordinating, developing, and modifying annual Open Enrollment communications, project plans, and other related materials; participate in ongoing user acceptance system testing, develop test cases, execute testing, provide feedback, and make recommendations.
  • Retrieve, compile, and prepare benefit reports in a timely manner. Audit internal reports to ensure accuracy and consistency of participant accounts, information, and premium deductions at regular intervals.
  • Maintain awareness of federal and state laws pertaining to benefits and LOA/ADA programs and their potential impact on policies and procedures. Review, research, and recommend modifications and/or enhancements to benefits and leave programs.
  • Other job duties as assigned.

Special Working Conditions:

  • Ability to work at a computer for long periods of time. 
  • Project timelines and work volume/deadlines may often require more than 40 hours per week to complete essential duties of this job.
  • Must have mental processes for reasoning, remembering, mathematics and language ability (reading, writing, and speaking the English language) to perform the duties proficiently.
  • Ability to carry out instructions furnished in written, oral, or diagram form and to solve problems involving several variables.
  • Ability to stand, walk, stoop, kneel, crouch, and climb as well as manipulate (lift, carry, move) up to 50 pounds.
  • Requires good hand-eye coordination, arm-hand-finger dexterity with the ability to grasp, and visual acuity to use a keyboard and operate necessary equipment.
  • The noise level in the work environment is normally moderate.
  • Environment where pets are present.

Experience, Education and/or Training:

  • Bachelor's degree in Human Resources, Business Administration, Finance or Psychology is required, or the equivalent combination of education, training and experience that provides the required knowledge, skills, and abilities.
  • Three years of experience in benefits administration, leave programs, and/or benefits systems are required.
  • Demonstrated knowledge of employee benefits administration (HIPAA, FMLA, ADA, LOA, Disability, COBRA and ERISA) is required.
  • . Relevant professional experience administering LOA/ADA and employee benefit plans is preferred.
  • Experience using Workday and other benefit and leave systems is preferred.
  • CPDM, CEBS, CBP, SHRM, PHR or SPHR certification is preferred.
