Position: Site Administrator 

Term:  12 Months Contract to Permanent

Location:  Acton & Milton  

Start Date: July 2024

 

 

Position Overview:
Under the general direction of the Site Manager and Site Superintendent, the Site Administrator is responsible for providing administrative support to multiple sites by ensuring the timely processing of month end activities (invoicing, purchasing), payroll, OPE indicators (overtime, labor hours), Corporate Social Responsibility and related cost control reporting.

 

Responsibilities

  • Invoicing
  • Cost accounting
  • Process and enter daily time sheets into SAP.
  • Tracking rental equipment and approve rental equipment invoicing within Excel.
  • Enter daily fuel consumption into SAP and maintain tracking sheets within Excel & SAP
  • Coding all incoming packing slips to ensure accuracy and timeliness.
  • Enter purchase requisition (PR) on SAP and received on SAP packing slips for materials or/and invoices for services.
  • Payroll:
  • Monitoring of the time sheets to ensure errors are detected and corrected.
  • Close work orders after ensuring all manpower hours were allocated.
  • Administrative and ad hoc duties:
  • Coordination of all administrative activities including document retention procedure
  • Ordering materials including office supplies as requested.
  • Maintain electronic filing of copies of all required documentation and correspondence.
  • Production of OPE Key Performance Indicators
  • Supports the Occupational Health and Safety Administration & JHSC as requested.
  • Complies with all applicable Occupational Health and Safety legislation and company safety programs.
  • Supports Environmental Administration as requested.
  • Organize key annual activities – Tree planting, Open house, Employee events etc.…
  • Request cheques for donations and sponsorship and track CSR budget and expenses
  • Update in a monthly basis progress of CSR activities
  • Attend CAP meetings as required.
  • Perform other activities related to the function, or department as assigned.
  • Support dispatch activities covering the dispatcher one day a week and/or when need.

 

Educational Criteria

  • High School Diploma
  • Diploma in Business Accounting, Business Administration, or related area an asset

 

Requirements

  • 1-3 years of related experience (Data Entry, Payroll, and invoicing experience)
  • High level of proficiency with MS Office
  • SAP experience an asset.
  • Strong communication skills
  • Analytical skills
  • Highly organized and time conscientious
  • Initiative to improve business practices.
  • Ability to work well under pressure.
