SAIC is seeking an Office Coordinator to oversee and support the Mission Advisory Services office and ensure that the office is operating smoothly. This role will require someone to work at our Reston office Monday through Thursday with the ability to work remotely on Fridays. The office location for this role will move to Arlington, VA either later this year or early next year. 

The Office Coordinator's responsibilities include:

  • Performs general office duties, including greeting visitors and directing calls.
  • Supports logistics for programs, meetings and events, including room reservations, agenda preparation and calendar maintenance. Supports efficient meetings by organizing spaces and materials, documenting discussions and distributing meeting notes.
  • Provide administrative support to staff members and provide back up support for the business group when needed.
  • Oversees fast-paced front desk operations at a busy business facility.
  • Coordinate with IT department on all office equipment.
  • Oversees and manages office inventory activities, including ordering and requisitions, stocking and shipment receiving.
  • Coordinates facility repairs/maintenance as needed.
  • Prepares packages for shipment, pickup and courier services for prompt delivery.
  • Onboards new employees by providing guidance on company processes and policies.
  • Identifies and recommends changes to existing processes to improve accuracy, efficiency and quality of services.
  • Distributes team-wide announcements, books conference rooms and coordinates catering as needed.
  • Actively listens handles concerns quickly and escalates major issues to supervisor.
  • Plans coverage needs and organizes services to support staff and clients.
  • Ensure the SVP is prepared for meetings with logistics, pre-reads, pre-meetings, etc.

Qualifications

Required Education and Experience: 

  • Positive attitude and ability to interact professionally with clients.
  • Must have a Bachelors and 3 years of experience. Will accept an additional 4 years of experience in lieu of a degree. 
  • Must have 2+ years of Office Coordinator / Management experience or something closely related.
  • This role requires U.S. citizenship and may require the ability to obtain a U.S. government clearance in the future. 
  • Highly functional in Microsoft Excel & PowerPoint; ability to create executive-level presentations.
  • Experience with data visualization tools, including transforming complex data into rich presentations with actionable and easy to read charts is a plus.
  • Able to be point of contact for both in-house and external phone. 
  • Well-organized with an ability to handle schedule management.
  • Outstanding telephone, scheduling, and documentation skills.
  • Proficient in Microsoft Office Suite.
