Position/PCN: Payroll Assistant at Payroll Department, Matsu Borough School District Administrative Building

Position FTE: 1.0 FTE

Pay Grade: 8

Starting Wage: $20.82

Days Per Year: 260

Shift times: 8am-4:30pm

Class Summary: Under limited supervision of the payroll supervisor, performs complex work involving maintenance of the District's classified and certified payroll in an integrated information data system; utilized independent judgment and problem solving skills in relation to assigned areas of responsibility.

Distinguishing Characteristics: 
 

Duty No. Essential Duties Frequency Band/ Grade 1 Greets visitors, answers questions/concerns from the general public and/or staff concerning policy/procedures and provides standard/detailed information.  Daily A1 2 Types administrative letters, correspondence, and reports; maintains appropriate filing systems according to established procedures. Daily A1 3 Supports various aspects of the payroll process in accordance with Federal, State Laws, and policy procedures. Daily B2 4 Receives and reviews all personnel actions for accuracy. Completes required supporting process to finalize action to include deduction updates and employee leave updates. Daily B2 5 Responds to payroll related questions in a timely and cordial manner. Supports all department inquiries with the highest standards of customer service Daily B2 6 Calculates and reconciles leave cashouts and overtime in accordance with established procedures and negotiated agreements. As Needed B2 7 Create manual time entry files to include appropriate documentation supporting the required entry. As Needed B2 8 Complies with established internal control standards to ensure system and procedural integrity. Daily B2 9 Review employee pay, benefit, and leave records for accuracy and completeness as part of the regular payroll process. Daily B2 10 Completes required reconciliation of pay related deductions, leave, and earnings. Weekly B2 11 Performs required data entry into various systems to include Munis, Aesop, and VeriTime. Daily A1 12 Performs basic accounting and reconciliation of required payroll payments under the supervision of the Payroll Supervisor. As Needed B2 13 Process required vendor payments after each payroll as required. As Needed B2 14 Completes required payroll reporting as outlined in the payroll process or as requested by the Payroll Supervisor. As Needed A1 15 Performs other duties as assigned. As Required B2  

 
Knowledge: 
 
Skills (position requirements at entry):
 
Training and Experience (position requirements at entry):  Previous education, training, work or life experience which provides reasonable evidence of the successful performance of the tasks listed. Such evidence might typically be provided by a working knowledge (1-3 years) of payroll functions preferably with a large governmental agency. Computer Operations to include advanced skills in word processing, databases, spreadsheets, and desktop publishing.   
 
Licensing Requirements (position requirements at entry):  A valid Alaskan Driver's License.
 
Physical Requirements:  Sedentary Work:  Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body.  Sedentary work involves sitting most of the time.  Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
